A better rent collection workflow for Kenyan properties

Organise rent billing, balances, payments, receipts, arrears follow-up and tenant statements with a consistent property-management workflow.

Rent collection is not only receiving money. The underlying process needs to show what was due, what was received, how it was allocated and what balance remains.

Bill the correct tenant for the correct period

A rent record should connect the tenancy, billing period, amount and due date. This prevents unrelated payments from being mixed together.

Record the payment method and reference

Cash, bank, mobile-money and other payments need a reference that can be checked later. Supporting metadata reduces reconciliation problems.

Issue a receipt and update the balance

The receipt should reflect the payment actually recorded. If a payment only covers part of the amount due, the remaining balance should remain visible.

Follow arrears from a shared record

Reminders and follow-up are more reliable when staff are looking at the same tenant ledger rather than separate notes or spreadsheets.

Frequently asked questions

Can a rent payment be partial?

A property-management system should be able to record the amount actually received and preserve any remaining balance.

Why are payment references important?

They help reconcile the system record with bank, mobile-money or other payment evidence.

Should receipts be editable after payment?

Corrections should preserve an audit trail rather than silently changing historical financial records.
